SiteStory allows you to add Members to your Workspace or separately to your Sites. This allows you to control who can access your Workspace, view your Sites and record Stories for them.
SiteStory uses two related methods for controlling member access. These two methods are:
Member Type
Member Role
The Member Type controls whether a member can access the SiteStory web application, mobile application or both. In the case of a Site Member, it also controls what Sites they can see in the SiteStory mobile application.
Workspace Members - These Members can access features in the web application based on their role type and view and record Stories for all Sites.
Site Members - These Members can only view and record Stories for Sites they are Members of via the SiteStory mobile app.
The Member role controls what features the Member can access and what actions they can complete in SiteStory.

Navigate to Settings.
Select the Members tab.
Click the Add Member button.
4. Complete the fields in the Add Member dialogue.
5. Click the Add Member button.
6. The Member will receive an invite email for SiteStory.
Once the Member has been added, they will appear under the Members tab, and they can sign into the web and/or mobile application using the email address associated with the Member profile you have added.
To Disable a Member's access to your Workspace, simply change their Status from "Active" to "Disabled". Disabled Members will be listed under the Members tab in a separate table. You can re-activate their access to your Workspace by changing the status back to "Active".
You can bulk add Members to your SiteStory Workspace either by typing the person's details in the bulk invite dialogue or via CSV file import.
Navigate to Settings.
Select the Members tab.
Click the menu button in the Add Member button.
4. Select the Bulk Add option to open the Bulk Add dialogue.
In the Bulk Add Members dialogue, you will:
Select the Role type that you wish to assign to the Members you invite
Manually enter the Member details in the Bulk Member Entry field
Or upload a CSV file containing the details for the Members you wish to add
Note: You can only select one Role Type when bulk adding Members. If you wish to add all your Managers and Authors, you must do this in two separate actions.
To manually enter the Members' details, type them into the "Option 1: Manual Entry" text field
Use one row per Member details
Comma-separate the Email, First Name and Last Name
The Import Preview will provide a preview of the Member details and format validation check
Download the example CSV file
Populate the CSV file, using one row per Member details
Use the "Choose File" option to select your CSV file and import it into SiteStory
The Member Details will be automatically populated in the Option 1 field
The Import Preview will provide a preview of the Member details and format validation check
5. Once you have listed all Member details that you want to add, select the Add Members button to add the Members to your Workspace and send invite emails to each Member.
Once the Members have been added, they will appear under the Members tab, and they can sign into the web and/or mobile application using the email address associated with the Member profile you have added.
Note: If you add new Members with Role Type "Author" to your Workspace after you have activated your Traffio integration, then SiteStory will run a resync process with Traffio to check if any of the new Members are assigned to Bookings that have already been created as Sites in your SiteStory Workspace. If new Author Members are assigned to the Bookings in Traffio, the platform will then automatically assign them to the associated Site in your Workspace.
What happens when you invite someone to a Site:
New to SiteStory: If they don't have a SiteStory Member account yet, we'll create one for them as an "Author" and send them setup instructions via email.
Existing Member: If they already have a SiteStory account, they'll receive an email letting them know they've been invited to your site and can start recording stories.
Navigate to Sites.
Select the Site that you wish to add a Member to.
Select the Members tab.
Click the Add Member button.
5. Complete the fields in the Add Member dialogue.
6. Click the Add Member button.
7. The new Member will receive an invite email for SiteStory.
Once a Member has been added to a Site, they will appear under the Members tab for the Site, and they can see the Site when signed into the mobile app and select it to record Stories for.
To Disable a Member's access to the Site, simply change their Status from "Active" to "Disabled". Disabled Members will be listed under the Members tab in a separate table. You can re-activate their access to the Site by changing the status back to "Active".
If you use Traffio with SiteStory, team members are added to sites automatically when:
They have been assigned to the booking in Traffio
And they have an active SiteStory Member account that matches the email address on their Traffio user profile
What to do if team members aren't being added to Sites:
They will not have an active SiteStory Member account, and you will need to invite them.
Go to your Workspace Settings → Members tab
Invite missing team members with the "Author" role
Make sure to invite them with the same email that's listed on their user profile in Traffio
Once invited, they'll automatically appear on new and updated sites when assigned to bookings in Traffio.
See our Traffio Integration guide to learn more about how Traffio integrates with SiteStory.
